Money is a sensitive topic for most people, even more so when they experience a major life event or prepare to live off the nest egg they have accumulated. Financial topics can be complicated and confusing. Evaluating all the issues that affect people’s financial lives is a challenge but it is only half the job. We also have to carry out our roles and interact with clients in a way that expresses empathy, demonstrates that we will take good care of them, and builds trust. The administrative assistant is often the first and most frequent member of the team to interact with clients and needs to embody these traits.

The ideal candidate is a problem solver with excellent communication skills and unfailing attention to detail.

Objectives of this role

·        Serve as the public face and voice of the office, responding to requests, providing information, and welcoming clients.

·        Manage workflow, following and improving processes.

·        Coordinate resources to make sure the financial advisors have what they need when they need it to carry out their roles.

Responsibilities

·        Provide front desk coverage, answer the phone, greet guests when they arrive, maintain an orderly and professional workspace.

·        Provide administrative support to two financial advisors, setting appointments, processing paperwork, following up transactions, sending and keeping records of correspondence.

·        Enter and maintain information into client and financial planning systems accurately.

Required skills and qualifications

·        Five years administrative experience, preferably in financial services or a tax office

·        Excellent written and verbal communication skills

·        Ability to prioritize and manage workflow

·        Aptitude for learning and using software

Preferred skills and qualifications

·        Experience supporting financial planners or CPAs

·        Experience entering data into financial planning and tax software

·        FINRA registered assistant
